SUPERVISES: clinical and administrative staff at multiple
sitesJOB SUMMARYThe Practice Manager is an essential member of our
management team. You will play a vital role in the supervision of
physician practices. In this role, you will report directly to the
Director of Clinical Operations. Additionally, you will be assigned
as a primary lead responsible for the oversight of two or more
office locations. In order to provide a direct line of
communication and accessibility, and to ensure responsiveness to
needs, your workstation will be located in your assigned area(s).
This role is essential to promoting a professional atmosphere
through courteous communication, cooperation, and respect for P3
staff, patients and visitors and is looked upon to set the tone for
each location under your responsibility.DUTIES & ESSENTIAL JOB
FUNCTIONSAssigned Office Responsibilities:Implement and maintain
best practices as outlined by P3 policies and procedures as well as
industry standards within your assigned clinic and span of control,
including but not limited to, staff training, compliance, customer
service, patient engagement, documentation, and overall physician
office operations.Organize monthly team meetings within your
assigned clinics to review balanced scorecard performance and
goals. Executive summary to be provided to the Director of
Operations or delegate following the conclusion of the meeting as
needed / requested.Organize daily team huddles within your assigned
clinics to review clinic and staff expectations, organizational
goals and operational metrics.Perform direct observation and
supervision of assigned clinics on a weekly basis through
leadership rounding and physical presence. Appropriate escalation
of unresolved issues shall be communicated to the Director of
Operations or their delegate, as necessary.Provide coverage when
short-staffed, including but not limited to, answering incoming
calls, patient registration, scheduling patients, check-in and
check-out, as well as other front and back-office duties, if
qualified.Provide oversight, mentorship, as well as foster
accountability, with the daily operation within assigned
clinics.Responsible for coordination of onboarding new physicians
and staff within your assigned clinics under the supervision of the
Director of Operations and in collaboration with the clinical
lead(s).Responsible for ordering equipment and managing supply
orders.Responsible for management of human resource functions,
including but not limited to, proper time capture and payroll
approval for all direct reports.Review overtime and attendance
monthly, and provide a summary to Director of Operations, or their
delegate as needed.Perform workflow assessments/audits on assigned
clinics with regular follow up, tracking changes and process
improvement through required site visits and shadowing, as
needed.Work independently on assigned tasks with minimal
supervision.Perform leadership rounding at all assigned clinics at
least twice per week.Provide support for supply orders and
equipment, and IT requests.Assist with EHR related matters, provide
ongoing support, and escalate issues as needed.Functions as the
primary liaison between assigned clinic locations and all other
internal and external entities.Multi-site management.Department
Specific Responsibilities:Required to attend management meetings
and/or huddles to review projects, office assignments, and updates
from leadership.Provide regular updates on assignments and status
of assigned projects.Prepare and conduct a Monthly Operations
Review (MOR) of practice metrics with the leadership team to
identify areas of opportunity and improvement.Participate and
provide guidance and recommendations during the annual budgeting
cycle and quarterly forecasting of various financial, clinical, and
operational goals.Participate in staff performance evaluations,
compensation recommendations and development of employees,
including performance improvement plans, disciplinary actions
and/or termination of employees.Collaborate with all Practice
Managers and provide coverage for one another as needed.Display a
positive attitude toward work assignments, performance feedback,
and interactions with co- workers, HSS department staff, patients,
families, and visitors.Serve as project lead for key initiatives
responsible for coordinating progress against established
milestones and communicating regular updates to P3 leadership as
required.Perform other duties as assigned.MINIMUM
QUALIFICATIONSBachelors degree required or equivalent healthcare
experience.1 year or more in a supervisory or management capacity
in a primary care setting required.3 years or more of experience in
a healthcare clinic setting required.Understanding of OSHA, CLIA,
HIPAA and risk programs required.CMPE credential and LEAN Six Sigma
certification preferred.Travel required.EducationPreferredBachelors
or better in Health Administration or related fieldEqual
