SummaryThe Northern Arizona VA Health Care System is currently recruiting for one (1) Program Support Assistant (HBPC) to work in the Geriatrics & Extended Care (GEC) Service Kingman, Arizona. The incumbent serves as the Program Support Assistant (PSA) for both HBPC and CNH/ADHC programs under the supervisor of the HBPC Program Director/Nurse Manager. Learn more about this agency Responsibilities. The incumbent is responsible for organizing and maintaining the complex day to day administrative operations of the HBPC, CNH/ADHC programs. Duties include but are not limited to the following:Provide clerical support to the Home-Based Primary Care and Contract Nursing Home and Adult Day Health Program. Serve as the timekeeper for HBPC and CNH and ADHC T's to include the tracking, monitoring, and comparison of the individual leave slips and Tours of Duty in VATAS and AccuStaff. Responsible for running leave reports and monitoring of trending of leave usage for HBPC, CNH/ADHC.Evaluate and report to managers any trends or patterns noted in leave usage.Makes recommendations to the HBPC Program Director of any issues that are noted, or additional training needed by staff.Communicate with staff of all levels on any errors noted on leave requestsMake recommendations for corrective actions on leave requests.Maintain government vehicle mileage reports for three HBPC locations, CNH and ADHC government vehicles and submits data to the fleet manager prior to the 15th day of each month.Monitor VERA status of each HBPC Veteran on a monthly basis to ensure that each Veteran receives appropriate reimbursement.Receive, assign, and monitor external and internal generated correspondence and inquiries.Provide and ensure the provision of clerical support to all clinical staff of HBPC, CNH and ADHC which includes the following disciplines: Physician, Nurse Practitioner, Registered Nurses, Social Workers, Kinesiotherapy's, Psychologist and Registered Nutritionists.Serve as the point of contact for all HBPC, CNH/ADHC consults, inquiries and referrals.Monitor deadlines and requests to ensure timely responses. Facilitate and lead the weekly IDT meetings which includes; determining the order in which the Veterans will be discussed, determining which order each HBPC discipline will report during IDT and documenting the discussion in the Veteran IDT note throughout the meeting. Coordinate all clerical duties including: medical record retrieval from outside entities, faxing orders for the HBPC Medical Director and Program Director within the VA and to outside vendors.Faxing, scanning, copying and completing HBPC admissions, HBPC discharges, and transfers within the VISTA system.Act as the Government Purchase Cardholder for HBPC, CNH and ADHC and back up for GEC Service Line, requests all documentation for purchasing, tracks and monitors all goods and supplies received, and reconciles charges. Assist with management of electronic files and conversion of digital files.Work closely with the Quality Improvement, Process Improvement, and Education departments within GEC Service Line to help meet the needs of the department.Organizing treatment plans and education plans, as well as assist with action plans ensuring that all items are well organized and professional looking.
