Resources contact information.The Administrative Assistant is
primarily responsible for assisting The Office of Human Resources,
Director and Human Resources Staff with various administrative and
clerical duties. The position requires an individual to maintain
confidentiality and project a professional image at all times. The
candidate should be highly efficient, able to multi-task, and able
to meet deadlines despite interruptions. This position is
responsible for scheduling meetings, coordinating mailings,
preparing various department reports, data entry, and various
accounting reports.1. Assist HR Director with various
administrative duties and/or projects.1.1. Provide high level
administrative and confidential support for the HR Director.1.2.
Manage the calendar for Human Resources Director.1.3. Act as
liaison communicating on the HR Director's behalf.1.4. Maintain the
department office space.1.5. Perform scanning of confidential
employee information.1.6. Utilize the visitor management system for
all external appointments.1.7. Input invoices into the Unimarket
system for proper payment to vendors.1.8. Prepare and process
expense reimbursement forms.1.9. Perform all ordering for the
department, including supplies, clothing, and equipment.1.10.
Review and approve Business Cards for faculty and staff.1.11.
Assist with student and adjunct faculty bi-weekly paychecks for
mailing; maintain the bi-weekly check tracking sheet.1.12. Order HR
compliance Poster Notifications and Renewals.1.13. Provide and
follow-up on email correspondence.1.14. Handle general questions
from staff and vendors received via phone, fax, email, and
walk-in.2. Contributes to team effort by performing other duties as
needed/assigned.2.1 Participate in Employee Recognition Service
Award nominations for Employee Engagement Committee.2.2 Assists the
HR staff with various annual employee events.2.3 Complete other
duties as assigned.Education: + Associate's Degree or Equivalent
experience, Education experience preferred.Experience: + Two years
administrative/clerical related experience. + Two years of data
entry, basic knowledge of scheduling and travel reimbursement.
Experience supporting multiple manager.Skills & Abilities: +
Excellent communication skills. Must demonstrate high level of
skills in verbal and written communications, proficient in
Microsoft applications, including Excel, Word, and PowerPoint. +
Requires the ability to set priorities, meet deadlines, and perform
assignments accurately and confidentially.+ Must have strong
organization skills, be flexible and able to adapt to changed
priorities and effectively handle frequent interruptions,
effectively handle multiple projects and tasks simultaneously,
works well within a team or independently. Application
